The City & Borough of Juneau is hiring for an Administrative Coordinator in Parks & Recreation!

The City's Parks & Recreation Department is looking for an Administrative Coordinator to support the Facilities Maintenance and Parks and Landscape Divisions. This critical role involves managing office support tasks, overseeing financial processes, handling property and security access, and contributing to the Divisions missions. Reporting to the Facilities Maintenance Supervisor, the ideal candidate will bring strong organizational skills, proficiency in financial and technical duties, and a dedication to maintaining high standards within our divisions.

Our team is seeking an Administrative Coordinator dedicated to supporting the mission of the Facilities Maintenance and Parks and Landscape Divisions. This role is perfect for someone with a mix of technical skills, especially proficiency in Microsoft Office and maintenance management systems. Essential to this role are excellent organizational abilities, multitasking skills, and outstanding communication for both public and internal coordination. CBJ Parks and Recreation is known as the “fun department.” Our priority is to create a positive and safe work environment, our whole team is dedicated to working hard to keep our facilities, parks, playgrounds and sports fields safe, clean and looking good for our friends and families. We take pride in our work, and we have fun doing it!

This position works Monday through Friday from 7:30 AM to 4:00 PM. Your office would be located in Douglas at the Mt Jumbo Maintenance Shop.

In this role, your daily activities will be crucial to the smooth operation of our Facilities Maintenance and Parks and Landscape Divisions. You'll handle a variety of tasks, starting with managing phone communications, ensuring messages are promptly relayed, and coordinating mail and document flow between CBJ Departments and our divisions.

You will engage directly with the public, handling complaints with professionalism and guiding unresolved issues to the appropriate channels. Your financial responsibilities will extend to assisting supervisors with budget preparation and financial reporting. On the technical side, you'll assist in managing our Computerized Maintenance Management Systems (CMMS), including updating and maintaining records for property and facility management.

This role also involves significant purchasing responsibilities, from preparing and processing purchase requests to managing inventory. Additionally, you will oversee our security access systems. This comprehensive role is designed for those who thrive in a multifaceted environment, offering the opportunity to make a significant impact across various operational aspects of our divisions.

Education: High School graduation or the equivalent.

Experience: Six (6) months of entry administrative experience that included work in one or more areas of Human Resources, Procurement, Accounting, Finance, Office Support, or a related administrative area. This is equivalent to the Administrative Assistant with the City of Juneau or the equivalent with another employer.

SUBSTITUTIONS: One year of clerical experience equivalent to the Office Assistant with the City of Juneau or the equivalent with another employer.

Or

One year of post-secondary education from an accredited college (32 semester hours or 48 quarter hours equals 1 year) or vocational training may be substituted for the required experience on the basis of: 150 hours of vocational education are equal to one month of experience.)

Other: Some positions may require a valid Drivers’ license at time of appointment and for continued employment.

Note for Parks & Recreation Facilites Maintenance positions: As part of the selection process, applicants are subject to a background investigation that includes a criminal background review, credit check, and fingerprinting.
